Explore quality and safety risks

Move the slider to explore how different assumptions affect a hypothetical risk scenario. The figures are illustrative examples, not measured probabilities, Qlutch results, or estimates of your actual risk.

Paper-based · Shared drive · Legacy QMS · Modern QMS (Qlutch)

The slider fills in example probabilities and impacts. Adjust them to match your organization; moving the slider or changing your starting point replaces those values. Estimates are separate from ROI. Avoid counting the same costs twice.

Expected annual difference = (current likelihood − after-change likelihood) × financial impact. This is a scenario, not guaranteed cash savings or evidence of product effectiveness. Exclude overlapping consequences, validate probabilities and impacts, and consider nonfinancial harm separately. Risk assessment context ↗

02 / BUILD YOUR BUSINESS CASE

What could you get back?

Get a business case you can take to your leadership team. We calculate the projected value, payback timeline, and a practical savings target from your plan and the details below.

First-system planning assumptions

A first quality system replaces more manual document distribution, routing, training follow-up, and record tracking. The model therefore assigns materially higher recoverable-work rates than it does for a legacy-system replacement. These remain planning assumptions, not a savings guarantee.

Who will use your quality system?

Total employees starts at your largest single-app user count. You can increase it.

The starting counts round 5% of employees to quality managers (at least one) and 15% to department / personnel managers. Frontline users are the remainder. Adjust either manager count to match your team; frontline updates automatically. Each app’s licenses use these proportions, and all roles use the same location-weighted hourly cost. Actual assignments and compensation can differ.

Personnel counts equal total employees.

Illustrative coordination time beyond the app-specific tasks below. The model estimates licensed managers from the largest app, scales their coordination with total employees relative to that app, and limits it to 40 hours per manager per week before recovery. Adjust to avoid counting the same work twice.

Adjust time assumptions by role and app

Estimated minutes each licensed person spends on that app’s work in a typical week, before the industry factor and recovery rate. These are illustrative starting points, not measured customer outcomes. Enter 0 if a role does not do that work.

Each number is minutes of relevant work per licensed user per week. The estimated recovered minutes underneath apply the selected industry and recovery assumptions at full utilization. The four-week ramp applies to the financial timeline.

Where will Qlutch be used?

Choose each country and city or region, then distribute your total employees by percentage. Editing one share automatically rebalances the others to keep the total at 100%. Changing the number of locations starts an even split. Allocated employee counts are rounded to whole people while preserving your total.

The blended labor estimate is weighted by allocated employees. U.S. locations use BLS metro or regional compensation estimates; international locations use a World Bank purchasing-power proxy.

    Modeled app impact

Every license adds app-specific time recovery based on the personnel mix, industry and starting point. The same role mix is assumed across each app’s licenses.

Illustrative planning assumption: after the four-week rollout, value from FormFlows, Training, and Lists gradually increases by this percentage over three years as more solutions are implemented, then levels off. DocControl stays flat. Enter 0 for no additional growth. This is not a measured or guaranteed result.

    Each app’s business case

Each licensed app is also evaluated as a standalone purchase, with its own volume tier and the full implementation fee. Combined plans share implementation and use the total-license volume tier. Time rates and ongoing annual values are shown at full use; payback and multi-year results include the four-week ramp. These standalone cases exclude cross-app coordination benefits. Replacement cases use the current-cost assumption above; the automatic default matches each standalone subscription. Manually entered existing cost is allocated by license share.

Formula: licensed users × role-weighted app task time × recovery rate × 52 × realization. Additional apps apply the disclosed coordination factor to recovered time. Capacity value is recovered hours × blended loaded hourly cost. Utilization ramps from 0% to 100% over four weeks. After rollout, flexible-app benefits grow under the displayed planning assumption for three years, then level off; DocControl remains flat.

Research context. BLS May 2024 Occupational Employment and Wage Statistics supply metro wage differentials; the June 2025 Employer Costs for Employee Compensation release reported average private-industry total compensation of $56.67/hour in the Northeast, $49.85 in the West, $42.13 in the Midwest, $39.94 in the South, and $45.65 nationally. Asana’s 2023 survey of 9,615 knowledge workers reported that 58% of the workday went to coordination-heavy “work about work.” Microsoft’s 2023 Work Trend Index identified searching for information and inefficient meetings among leading productivity obstacles. ASQ’s cost-of-quality framework recommends measuring prevention, appraisal, and failure costs. For international sites, the calculator scales the U.S. loaded-compensation anchor by each country’s latest World Bank GNI per capita at purchasing-power parity. These sources validate the cost and work categories—not Qlutch-specific savings or the calculator’s planning factors. Location rates are planning estimates, not city-specific salary quotes. U.S. locations use a BLS metro match where available, with a regional BLS fallback. International locations use the selected country’s World Bank PPP ratio; countries without a published value use the global ratio. Recovered capacity is not guaranteed cash savings. Validate each location’s employee count, actual compensation, current-system costs, and one-time fees with process owners and finance.

    A PRACTICAL STARTING POINT

Give the work a way forward.

Start with responsibilities, not just headcount. Someone who uses DocControl needs different access from a colleague working across all four apps. The calculator makes those choices visible.

    01

One person. One app. One license.

A person using two apps needs two licenses. Add the user counts for each app to estimate the total.

    GOOD QUESTIONS

    A little more clarity.

Does the ROI calculator promise savings?

No. It estimates value from your assumptions. Recovered capacity is not necessarily a cash saving, and implementation costs matter. Use the breakdown to review and explain your business case.

How do we choose the right apps?

Map the information and actions in your process. DocControl manages controlled documents; FormFlows coordinates steps; Training supports learning; Lists organizes structured records. BaseCamp brings assigned work into an inbox.
